The facility for which use of application is hereby made will not be used for acts of violence or any other unlawful purposes or activities and the character of intended activities will conform to that as stated above in the application.
Individuals who are to conduct the activities as a result of this “Application for Use of Facilities” are to be twenty-one (21) years of age or older and are responsible for the use and care of the facilities.
Placer County prohibits smoking, vaping and the use of drugs or alcohol on any of its premises. Therefore, any activities as a result of this “Application for Use of Facilities” will prohibit the use of vaping, tobacco, drugs, and alcohol products. Violations of this condition may be subject to fines, full cost recovery of all cleaning necessary as a result, and potential for denial of future requests to use Placer County facilities -or- and the potential to be barred from the use of any County facilities for one year including cancelation of any previously approved requests.
Room cancellations must be received no later than 3 business days in advance. Or future meetings may have a longer waiting period before approval.
The undersigned agrees to indemnify and hold harmless Placer County, its officers, agents and employees for causes, arising out of or in any way connected with the use of the facility.
Disclaimer: Placer County Health & Human Services shall have the right to revoke permission for use of the HHS Conference Center at any time in the event of an emergency or when it is deemed in the best interest of Placer County. In the case that HHS must cancel a reservation we will work with the group to find another venue.
User is responsible for the following during business hours:
- Scheduling the room in advance.
- Setting up the room for their meetings and use AND returning the room to its original status after use (i.e. proper placement of tables/chairs). You will need to complete a checklist before leaving the HHS Conference Center and leave it at the front desk.
- Users are responsible for ordering of food and/or food preparation for meetings and the removal of all food and food related items upon departure -or- daily departure / upon final departure of multi-day reservations. Violations of this condition may be subject to fines and/or full cost recovery of all cleaning necessary.
- Reservations outside of HHS Center business hours require an assigned staff person from your organization to staff the door.
- Gaining access to the building for you and your attendees.
- Ensuring the building is secured upon your departure if during closed hours or after hours. Violations of this condition may be subject to fines and/or full cost recovery of any damage as a result of unsecured doors.
- Cleaning off table surfaces.
- Making sure all trash is disposed of in available trash containers within the building. If you need additional trash bags please email HHSConferenceCenter@placer.ca.gov. Violations of this condition may be subject to fines, full cost recovery of all cleaning necessary
- Applicant is responsible for the repair of any damage to equipment and/or facilities while in the group’s use.
- Equipment use: Any additional equipment needed, not available in the room, must be scheduled in advance (i.e. white boards, additional tables/chairs) by emailing HHSConferenceCenter@placer.ca.gov.
IT Equipment: Microphones, projectors, video-conferencing, and teleconferencing equipment are available but must be scheduled in advance. There may be a charge for this equipment through the IT department. Note: Audio/Visual/Laptop assistance is available (to get you up and running) by emailing HHSConferenceCenter@placer.ca.gov. Please Note: IT assistance beyond initial working access may be subject to a charge from/through the Placer IT Department.
